Enabling the Microsoft Teams and Panopto Integration

This page will guide you through the process for enabling the Panopto Integration for Microsoft Teams. This integration will allow you to automatically move Microsoft Teams Recordings into Panopto. Whilst this approach will provide academic staff with an efficient way to move recordings to Panopto, the integration configuration is specific to each user, and therefore you need to select the experience you wish to have with care.

Step1: Add the Panopto Integration (App) to your Microsoft Teams

Firstly, you will need to add the Panopto integration to your Microsoft Team, in order to do this complete the following steps:

  1. Open the Microsoft Teams desktop application and open the ‘Apps’ tab from the left-hand menu.
  2. Using the Search bar, locate the ‘Panopto’ apps. There are two options available for staff, at this stage Digital Education recommend using the Panopto app that is only for the automatic uploading of meeting recordings. This is the application with the description ‘use to automatically ingest meeting recordings into Panopto’.
  3. Click on the ‘Open’ button,

Note: It may take a few seconds for Panopto to load and become visible on the left-hand navigation panel.

  1. After enabling the Panopto application in Microsoft Teams you will be prompted to sign in using your University of Lincoln email address and password.

Step 2: Customising which Recordings are Uploaded to Panopto

At present staff have two options for customising which recordings are moved to Panopto automatically:

  1. Personal Meetings to your ‘My Folder’ (with optional mapping) – this approach allows you to move all recordings that you make in Microsoft Teams to your personal My Folder in Panopto, affording you the ability to move videos into the relevant module folder once you have had chance to review them. You also have the option to customise rules based on the meeting title, for example all meeting recordings that have the module ID ABC1001-2223 should be moved to the Panopto module folder for ABC1001-2223.

  1. Class Team Site Meetings to a specific Panopto Folder – for academic staff who make use of Class Team Sites for online teaching and learning, you have the option to specify that any recordings that take place in meetings scheduled within that Team are moved to a specific folder.

Note: It is important to give consideration to how you setup the Panopto Integration in Microsoft Teams. For example, if you setup a rule to say that all meeting recordings where the meeting title contains ABC1001-2223 should go to that module’s Panopto folder, but you schedule a marking moderation meeting or an academic offences meeting where the module ID is in the title of the meeting, if you recorded this meeting it would automatically be moved to the Panopto module folder.

Digital Education recommend in the first instance to configure for all recordings to go to your personal ‘My Folder’ as tutors can then selectively make these recordings available to students in relevant folders, ensuring the appropriate access and privacy is maintained.

Option 1A: Configuring Personal Meetings to your ‘My Folder’

To enable Panopto for your personal meetings in Microsoft Teams, follow these instructions:

  1. After adding the Panopto application to Microsoft Teams, navigate to the left-hand navigation panel and select ‘Panopto’.
  2. Go to the ‘Settings’ tab and select ‘Authenticate’ under the Personal Meetings section. Please note it may take a moment to authenticate and reload the tab.
  1. Once authenticated successfully, Panopto will be connected, and your meetings will automatically be moved into a ‘Meeting Recordings’ folder in your Panopto My Folder.
  2. If at any point you wish to stop uploading your recordings to Panopto, use the ‘Pause Import’ feature provided on the Settings tab.
  3. If you wish to change the default folder you can click on the ‘Edit’ button next to the ‘Folder’ label.

Option 1B: Configuring Personal Meetings to your ‘My Folder’

If you wish to provide custom folder mappings for meetings with specific contents in the title, you can complete the following:

  1. Within the section labelled ‘Meeting-Folder Mappings’, click on the ‘Add New Mapping option.
  1. Enter the meeting title from Microsoft Teams – you can use an asterix for a wildcard match on meeting names.
  2. Choose the desired Panopto folder where the meeting recording should be saved.
  3. Finally, click on the ‘Add‘ button to complete the mapping process.

Option 2: Class Team Site Meetings to a specific Panopto Folder

To enable Panopto for your Class Team Site meetings in Microsoft Teams, follow these instructions:

  1. After adding the Panopto application to Microsoft Teams, navigate to the left-hand navigation panel and select ‘Panopto’.
  2. Within the ‘Settings’ tab, locate the relevant Teams Site from the left-hand menu list, click on the relevant Team Site.
  1. Once you have selected the relevant Class Team, ensure you are within the ‘Settings’ tab, and then click on ‘Authenticate’. Note: During this process, you may encounter a request for reauthentication into Microsoft or confirmation of your password. Simply follow the instructions provided and complete the authentication process accordingly.

To set a default folder where all your meetings will be recorded follow the steps below.

  1. Select the ‘Edit’ button located on the right-hand side of the folder listed under ‘Default Recordings Folder’.
  2. Then, choose the specific folder where you prefer your meeting recordings to be stored by default and click ‘Save’.
